Privacy Notice
Minimum data, maximum clarity.
Earthrise:Live is operated by What School Ltd. This notice explains what personal data we collect when a school registers, why, how we keep it safe, and the rights you have under UK data-protection law (UK GDPR and the Data Protection Act 2018).

Who we are (the data controller)
The data controller for Earthrise:Live registrations is What School Ltd(registered in England & Wales, company number 17062510), based in Westminster, London. If you have any questions about this notice or how we use your data, contact us at hello@earthriselive.org.
What we collect
When a teacher registers a class, we collect:
- School name, country, city/region, school type and time zone
- Teacher name, role and email address (and any optional alternative or safeguarding-contact email you add)
- Class details: name, age range, approximate pupil count, languages and curriculum topics
- Availability: your school day, preferred dates and times, flexibility, and whether you're in session on the event day
- Matching preferences: countries, regions, languages and exchange type
- Technology: which video platforms your school approves
- Safeguarding and consent confirmations, and your public-listing preference
The only people whose personal data we ask for are the registering teachers. Any accessibility notes you add are optional free text - please don’t include pupil-identifying details.
What we never collect
- Pupil names, emails, phone numbers or any direct pupil contact details
- Pupil dates of birth or identifying records (we collect class age bands only, never individuals)
- Pupil photographs, unless a school explicitly chooses to upload one with the appropriate permissions
- Behavioural advertising data - there are no advertising trackers on Earthrise:Live
Why we use your data, and our lawful basis
We use your data only to run the exchange you signed up for:
- To set up and manage your registration and your classroom dashboard
- To find and suggest a suitable partner class, and to share what's needed for you to connect
- To send you essential service messages about your registration and your match
- To keep the event safe (verifying the registering teacher's email; safeguarding administration)
- To report on the overall impact of Earthrise:Live, using aggregated figures
Our lawful bases under UK GDPR are consent (Article 6(1)(a)) for contacting you about your registration and for any optional future-events updates, and legitimate interests(Article 6(1)(f)) for coordinating the exchange you have chosen to take part in. We do not collect special-category data, and we do not ask for a teacher’s gender, religion or other protected characteristics. You can withdraw consent at any time (see Your rights).
Sharing & international transfers
Earthrise:Live is a global exchange, so this matters. To connect your class with another, we share your class details - school name, city, country, age range, languages and availability - with your matched partner class, which may be in another country. We do notautomatically share teacher names, roles or email addresses through a match; teachers choose whether to exchange contact details themselves, in a short “Teacher Hello” call before the connection. Because matches are global, the class details we share may be transferred outside the UK/EEA. We share only what is needed to make the connection (and, where relevant, with trusted service providers such as our email-delivery and hosting providers, who act on our instructions). Where data is transferred internationally, we rely on appropriate safeguards - such as the UK’s International Data Transfer Agreement or addendum, or adequacy regulations - where these apply.
We never sell your data, and we never share it with sponsors for marketing.
How matching works
We suggest partner classes using your stated preferences and availability (age, language, time zone overlap, topics and the options you chose). Suggestions are advisory - you choose whether to accept or decline any match, and a teacher is always involved. There is no solely-automated decision that produces a legal or similarly significant effect on you.
How long we keep it
We keep your registration for as long as it’s needed for the event you signed up for - typically the current and the following Earthrise:Live year, so returning schools can re-register easily - and no longer than necessary. You can ask us to delete your registration at any time.
Your rights
Under UK GDPR you have the right to access your data; to have it corrected or erased; to restrict or object to its use; to data portability; and to withdraw consent at any time. You can edit most of your registration yourself from your classroom dashboard, or email us at hello@earthriselive.organd we’ll respond within one month.
Complaints
If you have a concern about how we handle your data, please contact us first at hello@earthriselive.orgso we can put it right. You also have the right to complain to the UK’s data-protection regulator, the Information Commissioner’s Office (ICO).
Changes to this notice
We may update this notice as the platform develops. We’ll change the “last updated” date above and, for significant changes, let registered teachers know by email.
